The Pros & Cons Of Still Keeping Paper Documents

The Pros & Cons Of Still Keeping Paper Documents

We’re constantly surrounded by digital technology in every aspect of our working lives. Most of your job is spent using a computer or another electronic device. You send emails instead of letters and deal with a lot of digital data. And yet, some workplaces still keep paper documents. These can be bills, contracts, or anything else that might be important for your company. Unfortunately, keeping paper documents comes with its fair share of drawbacks and problems. But, you could argue that it also has some advantages. Is it worth maintaining a collection of physical documents in your workplace? Let’s look at the pros and cons:

Pro – A fail safe for lost digital assets:

What happens if a computer breaks down that contains lots of key documents or data? It had a list of clients on there with their addresses and contact details. Or, it contained all of your bills for that quarter. You didn’t back anything up to the cloud, so it’s lost forever. Paper documents provide a fail safe in case of any digital issues. You have copies of important documents that you can now look at and use. This can be so helpful in situations when you’re trying to manage your books but can’t find the digital versions of bills and transactions.

Pro – Some customers/clients prefer physical documents:

Not everyone enjoys getting things digitally. Some of your customers may want actual physical copies of contracts and other key documents. If you only provide them with digital versions, it might lead to some annoyance.

Con – Easier to lose/damage:

The big problem with physical documents is that they are far easier for you to lose or damage. All it takes is some bad weather or an accident to spill water on a box full of documents. Immediately, they’re damaged almost beyond repair. Sure, you can use expert contents restoration services to try and bring them back to life, but it might be too late. Just like that, you’ve lost some truly important data or information that you’re unable to recover. When things are stored digitally or in the cloud, it is almost impossible to damage them. You can keep numerous copies on multiple devices to ensure that, if one copy does get damaged, there are many others to call upon.

Con – Harder to keep track of:

Keeping paper documents is a lot harder than keeping digital ones. You need a filing system that keeps everything neat and tidy at all times. Already, this poses some issues relating to your workspace. Is there physically enough space for you to have multiple filing cabinets to store all of these documents? Then, you have to consider how hard it is to keep track of all the documents. When you need a specific thing, how quickly can you find it among your paper documents? You’ll take a few minutes at the very least – and that’s if you have an awesome system. If things are stored digitally, they can be found in seconds by running a search.

Con – You use lots of paper:

Paper usage should be decreasing as we look to fight for a more sustainable planet. In fact, one of the simplest ways to make a business more sustainable is by becoming paperless. You drastically decrease the demand for the paper industry, meaning fewer trees get cut down and turned into paper. If every business went paperless, we might have a genuinely positive impact on the planet. So, keeping paper documents means you technically increase your carbon footprint by a tad. If you want to use less paper around the office, perhaps you should consider getting rid of paper documents and going digital.

All things considered, paper documents don’t really have that many advantages. It can be handy to keep some physical copies of important things – like supercritical contracts, licenses, etc. But, in the grand scheme of things, most businesses shouldn’t have a huge collection of paper documents anymore. Instead, the focus should be on taking your old documents and digitizing them! They are safer when stored on devices and stored in the cloud. The world is going paperless, maybe it’s time for your business to follow suit?

Setting Up Your Home Music Studio

Setting Up Your Home Music Studio

Do you have a passion for music? If so, then you likely know just how costly such a hobby can be. It’s fair to say that it’s often quite expensive to develop a love for music, as finding the cash to be able to afford to pay for professional studio time might cost a lot more than you have to spend. However, this doesn’t have to dampen your creative spirit. In fact, there’s an excellent solution: why not build your own home music studio? You’ll be able to record and edit your own tracks for a much smaller fee all in the comfort of your own home!

Having your own music studio can certainly take your music career to new heights, and it truly couldn’t be any simpler to begin designing and building your home studio today. So, what are you waiting for? If you’re ready to discover more, then check below to uncover some of the best tips and tricks that you can utilize to create the most amazing music studio before you know it:

First Things First: Prioritize Soundproofing:

The first and most important aspect of a home music studio is top quality soundproofing, as the last thing you want is angry neighbors knocking at your door. Having to deal with complaints day in and day out will certainly block your vibe and ruin your flow, so it’s a risk that just isn’t worth taking.

Investing in top quality soundproofing will help you to avoid this issue, as well as improve the end product of the tracks you record in your home music studio. Good soundproofing can easily block out any noises from outside of your recording space, so things like passing traffic won’t be heard in the background of any of your songs. Sourcing the correct soundproofing for your unique space is key, so take your time to look around for the best fit.

Find Quality Equipment:

When you’ve laid the foundations of your music studio with top soundproofing, it’s time to invest in a range of quality equipment that you can use to record and edit your tracks…

It’s fair to say that many artists start off with nothing more than a laptop and a pair of headphones, so if you have a limited budget then don’t worry about trying to splash out on anything more. Whenever you do have the funds, investing in a quality microphone and speaker set should be your next priority. If you wish to take your home music studio to a whole new level, then you can take the opportunity to source a variety of instruments, amps, and more to allow for all manner of musicians and artists to record in your space. Whenever you do decide to buy some instruments, make sure you get musical instrument insurance – just in case.

Once you have your soundproofing and key pieces of equipment, it is up to you to design and decorate your space. You can also add some color changing LED lights to your home music studio, as this can take the atmosphere to a whole new level!

Protecting Your Business Needs To Include Your Employees

Protecting Your Business Needs To Include Your Employees

Your employees are an integral part of your business and if you disagree, then you should try running it without them. We guarantee that it wouldn’t run half as smoothly as it does right now and the levels of productivity would drop through the floor. Your employees are working hard for you and they deserve your protection as much as your business as a whole does. In this article, we’re going to be taking a look at some of the things that you can do to protect your employees:

Keep An Eye On Morale:

One of the things that you have got to do is keep an eye on morale. If morale starts to fall in your business, then this could be a huge problem. Morale is what keeps things readily moving along because it’s what keeps the upbeat attitude of your business. Without your employees in a good mood, we can all but guarantee that the work is going to suffer. It might not seem like a way to protect your workers just yet, but we promise you that it is.

You provide them with a good, stable job that pays well and that they are good at. However, you also need to provide them with a workplace that is good to work in. Without this, the business has nothing and it’s going to go downhill fast. By keeping an eye on morale, you are stopping your employees from feeling low and your business from losing one of its key members.

Mental Health:

Mental health in the workplace is not an issue that is addressed nearly enough as it should be. The problem is that we don’t want to talk about mental health because that is accepting that there is a problem. But, mental health can be a real problem for a lot of people. It can impact their ability to work, the way they work, the way they interact, and so much more. As such, we believe that it’s the job of the business owner to provide mental health support for those who need it.

This could be in the form of having a counselor available for those who have anything that they need to get off their chest or a specific room in the office that people can go to when they just need to sit quietly for a while. There are plenty of ideas to explore so look into it.

Health And Safety:

An important point that we need to highlight is health and safety. In order to keep your employees safe and protect them from any harm, you have got to make sure that you are in tip top shape when it comes to the health and safety of your business. Everyone should be wearing the correct uniform if it’s required, there should be wet floor signs where they have been cleaned, and regular safety training.

If someone gets injured working for your business and there are not adequate health and safety measures in place, they can hire the help of a firm like The Law Offices Of David L. Hood and come for you. Depending on how you treat them they may not, but you never know, and it will be your fault so you will have to pay out in the end. It’s best to avoid anyone getting hurt and putting the right measures in place to start with.

Stay Legit:

This might sound like an odd thing to say, but make sure that you are staying legit in order to protect your business and your employees. If you make some bad business decisions that turn out to be shady, not only is your business in trouble, but people will forever question if the employees of the business really knew what was going on. You can’t put that on someone else, so stay on the right side of the line and keep things going well.

Protecting your business starts first and foremost with the employees and we feel that most businesses don’t take this seriously enough. We wish you the very best of luck, and hope that you take good care of your employees when they work for you!

Choosing The Best Cleaning Company For Your Office

Standard
Choosing The Best Cleaning Company For Your Office

Does your office look a little less than perfect? We get it, and sometimes you just need that extra bit of help to get things spic and span, such as a cleaning company, so that you can pick up where they leave off. Here are some recommendations for choosing the best company for you.

Choose a company that provides the service you need:

There is a significant difference between a cleaning company that is suitable for private homes and apartments and one that specializes in commercial, office, and business complexes. Therefore, it is important to find a company that specializes in the exact spaces you need to clean. You can find out by examining the company’s website and checking the services it offers. Other than that, you could call and ask over the phone what the company specializes in.

Remember that there is also a difference between cleaning factories with a large amount of dirt and cleaner places like labs and hospitals. If your problems go beyond cleaning, such as pests, then you should consider hiring a pest control company that will be able to assist. Whether you need pest control or commercial cleaning London for overseas properties, many different companies will offer you a free quote for the services needed to help you find the best deal.

Need some assistance with how to find someone to help?

For the most part, the reviews you read online can be the best way to discover the pros and cons of a cleaning company. Look up the company you’re considering and see what people have to say. It’s important to know if other customer’s were satisfied with the services provided before you enlist the help of anyone.

Do I need the professionals?

On the face of it, cleaning seems to be a routine job that everyone knows how to do. However, the cleaning services of a professional office company are carried out according to a regular order and planning. In order for the services to be provided at the right pricing that does not burden the customer, it is necessary to specialize in the subject and to select the employees who are able to clean large areas very efficiently.

The cleaning team will focus on cleaning tables and other furniture, emptying garbage, washing floors, and more. In the bathroom, attention will be paid to the toilets, mirrors, and other accessories. In the kitchenettes, the counters, marble surfaces, and dishes will be cleaned. If you have a professional office space, then it is usually a procedure to ensure that you have someone who can undertake the task of cleaning, for the protection of yourself and your staff members.

Along with the normal cleaning, there is a thorough cleaning that is usually done once a week, and this involves cleaning ceramics, cleaning upper shelves that are not used regularly, washing floors in side rooms and closed warehouses, and more. Monthly cleaning is usually done for windows and lintels and other required elements. The job specifications can vary depending on the needs of the place and the requirements of the customers. Most often, these cleaning services are performed after or before the activity in the offices.

Choose the best cleaning company for your office carefully and see it sparkle once their job is complete!

Having Trouble Focusing While Working From Home?

Having Trouble Focusing While Working From Home?

Many of us have had to get used to the prospect of working from home over the past few months. While there are undeniable benefits to being able to take care of business in your own space, a lot of people have trouble adjusting to it, as well. If you’re having trouble getting productive, here are a few solutions that might help you get back on top of things:

You’re not making time for it:

With the flexibility that comes with working from home, it might feel tempting to simply do work whenever it suits you and not have any solid plans. However, this tends to end up wrecking your work-life balance. It’s a good idea to find what time you’re more productive and create a daily schedule around that, complete with strict starting and finishing times. This way, your life and work-life don’t start to bleed together to the point that you feel like you have to be half “on” whenever you’re in the home.

You’re surrounded by clutter:

It might sound like the difference would be minimal, but a neat and organized desk actually has a big impact on your mental condition while you’re working. Clutter has been shown to be a more significant cause of stress than we otherwise give it credit for. Maximizing closet space and making use of things like desk trays in the home office can ensure that you’re not surrounded by bits and bobs all day long. You may find that your office space becomes cluttered quickly because you don’t have enough surfaces to work at. If that is the case, then it might be time to check out Office Monster to see if there is any furniture that you could add to your current set up to help better organize your space so you can complete your day’s work free of distractions.

Your office doesn’t give the right vibe:

This point might sound nebulous, but getting yourself in the right headspace to work is vitally important. As such, investing in decor that can help you create a quirky but professional vibe is important. You want to make sure that you’re surrounded by imagery and designs that inspire and energize you while also ensuring that the workplace is subtle enough that it doesn’t serve as an ongoing distraction. For some people, it might be as simple as hanging a few pieces of art to give the room some life.

You’re physically uncomfortable:

Of course, even if your office gives the vibe you need and is organized to perfection, you’re going to have a hard time enjoying it if you’re dealing with a sore back. You might not notice the impacts of poor posture immediately, but if you start to feel some aches and pains in your back and joints towards the end of the day, that means it’s time to look at your chair and desk setup. Ergonomic furniture design can help support these achy parts of you, leading to a more comfortable working day while decreasing the chances that you might actually injure yourself.

It isn’t always easy to create a home office that feels right for your working needs. However, it’s worth taking the time to implement fixes and find what works for you rather than letting yourself start to hate the prospect of working at home entirely.

Leaving Room For Mess In The Workplace

Standard
Leaving Room For Mess In The Workplace

The office is meant for work. It’s the place where you conduct business and decide the future of your company. Don’t forget that it’s also a place for employees, the people who are there to keep everything going. You want the business to go smoothly, but people can only strive for perfection. There will always be a mess, and the office must designate space for it:

To Keep Files That Are Yet to be Sorted:

First, there’s the physical mess that you need to tackle, especially if you’re moving into an office unit for rent in Ortigas Center. Any move means uprooting the old filing systems you have and relocating them. They don’t come into the new office packaged to perfection and without needing to be organized. This, of course, gets sorted into their appropriate sections in the office. After you’ve successfully moved everything, you think all has been taken care of, but that’s where you’re wrong.

There will be future documents to sort, and there will be papers coming from different departments. A desk designated for the mess pile will keep other areas organized and will give you a good idea of how much you still need to do.

To Break Away from Monotony:

When it comes to regulated environments, it’s essential to keep a professional image. That means pristine walls and desks cleaned of any clutter. It’s almost clinical if you think about it. Occupying those desks are people who will be bored and will want to have some fun, and that’s exactly what the mess room will be for. It can be the pantry or a break room, but it has to be present. In this room, they are allowed to shed their professional persona even for just a few minutes so that they can be the fun and engaging people that they are. This room permits employees to be themselves, and it communicates that you care for their well-being more than the idea of having a perfect workplace.

To Leave Room for Mistakes:

Unless you’re hiring robots to run the business, there will be mistakes done in the office. A pleasant work environment accepts mistakes as a way to learn and grow, and that means not hiding them from everyone. You could designate a section of the office for ideas that have been discarded or put on hold, allowing people to revisit them and see why they failed. It might spark innovation.

Fresh eyes might also solve problems that the original contributors couldn’t crack. Think about old cases that new investigators look into. This section could also serve as a reminder to everyone that it’s okay to make mistakes as long as they admit to it and are willing to make things right. You are hiring employees for their skills, but even the most skilled manager has their shortcomings. A mess table will remind them that you also appreciate their humanity.

The mess you make at work should not be shunned. With the right goals and vision, past messes can become drivers of business growth.

Welcome To My Crib: Home Office Edition

Hi, MTV, and welcome to my crib! For the most part, my apartment is pretty much completely furnished and decorated minus my home office. So, I was hoping that my darlings with an eye for decor could help me out with figuring out what to do with this space.

For now, it has been so nice doing my paperwork for my big girl job and writing at my own desk instead of the dining room table at home! But, it will definitely feel better once the room has a deliberate design as opposed to a spare one with a desk in it. Lol, you’ll see. Check it out:

officeoffice4office1office2office3

Two great things about my office is the gigantic storage closet as well as the door that leads to my back balcony. I honestly don’t even have enough stuff to fill all of the storage options in my apartment and here I was before worrying that I wouldn’t have enough space! Anywho, as you can see, the office is a work in progress. I plan on taking some time off in May to completely finish my apartment so I’m hoping I’ll get some inspiration to get this space looking as good as the rest of chez moi. Help your girl out!

What would you do with this room to make it more home office ready? How is your office decorated at your place? I want to hear from all of you, so leave me a comment and let’s chat! Much love. -Sarah

Moving On Up: Hobby Lobby Haul Edition

Greetings! While shopping for my new apartment, I have had a little help. My clients have loved coming with me to pick things out and it has been so nice to have their personal touch in some of the items that I purchased. I told all of them that I want to use decorations that they chose in my home office and it has been such a blast seeing what they come up with.

During a shopping trip with one of my clients to Hobby Lobby, I ended up buying a new dinosaur and mermaid friend compliments of his recommendation. Check it out:

hobby1hobby

This particular outing was really special to me because the client who I took is blind. So, we went down the aisles of Hobby Lobby and I would describe to him the things that would catch my eye and then we would give a yes or no verdict from there. However, I was told to get basically everything that I would tell him about!

As much as I would have loved to buy out the store, we went with the mermaid and dinosaur. I suggested something nautical because he loves to go to the beach and that idea sat very well with him. And, I friggen love the dinosaur and green is his favorite color so that was a no brainer! It was so special to me to have his help picking out some decor for my office and I can’t wait to put my new pals on my desk. 😀

How do you have your office space decorated? Are you partial to a particular theme of decor? I want to hear from all of you, so leave me a comment and let’s chat! Much love. -Sarah

Designing A Home Office With A Quirky But Professional Vibe

Standard
Designing A Home Office With A Quirky But Professional Vibe

Today, more and more people are opting to work from home, instead of working in commercial office environments. In the US alone, 43 percent of workers work from home at least some of the time, with around 30 percent of workers working at the home front the entire time. Over the past 12 years, the number of home workers in the US has risen by 103 percent, which shows that every year more and more people are choosing this satisfying option.

Working from home is becoming an increasingly popular trend, but it’s not suited to everyone. If you are going to effectively work from home, you not only need to be a self-starter, able to motivate yourself, and good at timekeeping, but you also need to have a dedicated work space in your home. Sure, you could work from your sofa, but if you want to ensure that you are as productive as possible while working, having a dedicated space is a must.

When it comes to designing your home office, you want to create a space that has a unique look and feel to it. You want your home office to have a quirky, elegant, and professional vibe. To help you achieve this, below are some tips and ideas for designing the perfect home office:

Call In The Experts: Not too keen on DIY? Then call in the professionals! You want your home office to have the right look and feel to it, so it’s important to get the interior design plan just right. If you don’t feel like you’ve got the skills to do that yourself, it could be worth calling in the experts. Even if you already have ideas for the space, you can still use a professional interior design service. That way, you can combine your thoughts with those of the experts. All that matters is that you end up with a beautifully designed space that is a perfect fit for your needs, so if that means working with a professional designer, then it’s worth it.

Focus On Comfort & Aesthetics: However you decide to go about designing your home office, one of the most important things is to focus on comfort and aesthetics. While you want your home office to be a comfortable space to work in, you also want is it to be an aesthetically pleasing space. When it comes to selecting the features to incorporate, make sure to think carefully about both aspects – comfort and aesthetics. In terms of combining the two, it’s usually a case of picking furniture designs and styles that are chic and smart as well as comfortable. Or, if this isn’t an option, customizing a piece of furniture can also work well.

Personalize The Space: One of the major benefits of having a home office is the fact that you can personalize the space, so it’s vital that you take advantage of that. In a commercial office, you can personalize your desk to a certain extent but not in the same way that you can with a home office. It’s important to take advantage of this and use accessories and other features to personalize your home office while ensuring that it remains a professional space. It’s all about getting the balance right, is all.

If you’re working from home, a savvy office space is a must. Now, it’s up to you to create your dream space to buckle down and get to work!

7 Steps To Maximizing The Profit Potential Of Your Home Business

7 Steps To Maximizing The Profit Potential Of Your Home Business

Running a small business from home has become a very popular option for entrepreneurs from all backgrounds. By removing the need for commercial offices, you can significantly reduce the overheads involved. In turn, this can remove a great deal of pressure and buy a little more time as you look to turn the operation into a profitable one.

Reducing the overheads is a positive starting place. However, it’s only worth doing when you couple it with maximized profits. Otherwise, those savings will be counterproductive. In turn, this will prevent the company from achieving its full potential. Thankfully, you can achieve those great results by mastering just seven key factors. So, what are you waiting for? Let’s get started:

#1. Learn: There’s nothing wrong with starting your business almost immediately. However, it’s equally important to appreciate the fact that you don’t know it all. While improvements will come with experience, you should also appreciate the need to learn as you earn. First and foremost, you should be open to the possibility of formal education. Many entrepreneurs feel that there is no need for this as they aren’t looking to boost their hopes of securing a better job. But knowledge is power and enhancing your wealth of business-related info will serve you well.

Meanwhile, it’s imperative that you conduct the necessary research into your business. From working out the costs to knowing what else is on the market, that knowledge will enable you to make far smarter decisions.

#2. Build A Work Space: The thought of working from home is a dream for many, especially when you remove the need for commuting. However, separating work from leisure is the hardest challenge facing any home-based worker. Fail to establish those boundaries, and any success will remain limited.

If you have a home office space, that’s great. If not, it’s probably time to transform a guest room or the garage. Either way, your home office should be built for business rather than just working. Given that you could be spending long periods in this area, choosing an ergonomic chair is essential. Meanwhile, it’s imperative that all internet facilities and tech items are reliable, too. Sadly, if they go wrong, you could be set for a nightmare.

Building this working environment isn’t only important for you. It’s equally crucial for your family. If you’re in the office, you’re working. If you’re not, then they’ll know that you’re ready for family time.

So snazzy!

#3. Focus On Teamwork: All business owners require the support of a winning team. When running the operation from home, the chances are that you won’t have people actively working in your home. But that doesn’t mean that you should ignore the importance of embracing employees. The recruitment process will vary from the traditional ideas. However, hiring remote workers and freelancers can enable you to make your staffing budget work far harder. Meanwhile, you won’t need to worry about providing them with the necessary equipment. In turn, this can only send profitability through the roof.

Working from different locations shouldn’t be an excuse to ignore your responsibilities, though. Regular perks, good salaries, and a sense of empathy and understanding should be considered essential. After all, you need to trust that they’ll be working in the right manner.

#4. Think About Your Presence: Regardless of the industry, customer perceptions are imperative for success. Failure to make a good first impression will harm your hopes of achieving sales before you’ve even started. Unfortunately, some customers will be put off by the fact that you operate from a residential address. Acquiring a physical address in a prestigious location instantly provides a better company image. Meanwhile, it’s important that your website and other tools display contact details in a clear manner. Otherwise, it can give consumers a reason to feel that you’re hiding something.

A strong SEO game will boost your web visibility to further enhance the initial responses. That helps the company plant a seed of interest into the client’s mind, which can only bring positive impacts for future sales figures.

#5. Do More: Ultimately, you need to show that your business is the best solution for the client. One of the best ways to do this is to offer something that your competitors don’t. If yours is a localized service, you could make it mobile by visiting clients in their homes. Whether it’s hairdressing, accounting, or selling clothes doesn’t matter. Removing some of the hassle will give them another reason to choose you over competitors. On a similar note, accepting more payment types can have a positive influence on proceedings. On the one hand, those gestures are made for the benefit of customers. On the other hand, though, you should have pride in offering the best service, anyways.

#6. Find A Great Marketing Strategy: Branding is a crucial element of any business, as it provides the company with an identity. Your home-based venture shouldn’t be any different. In addition to logos and slogans, you should think about attention-grabbing ad campaigns.

Given that you don’t have a store, embracing online opportunities is pivotal. In addition to strong SEO, you should look to blogging, video campaigns, and interactive tools. Not only are those ideas far more cost-effective than traditional methods, but they additionally encourage participation. And when the clients are actively interacting with the brand, they’ll be far more likely to respond in a positive manner.

Just remember that you must express your personality at all times. If they can relate to the people behind the brand, the customers will be far more likely to complete a purchase. Once again, it all comes down to that sense of trust.

Stats n’ stuff

#7. Excel At Customer Care: Getting your business to the point where it generates regular sales is no mean feat. So when you do reach this stage, it’s crucial that you find ways to encourage long-term loyalty. When you have customers that keep coming back for more, sustained success is assured. Good communication is always a solid starting point. But you can go one step further with small gestures like promotional freebies and special promotions. Likewise, running loyalty schemes can be hugely beneficial. Above all else, you should go beyond the call of duty when dealing with customer issues.

Essentially, showing that your commitment to the client doesn’t end with the transaction is vital. In addition to boosting those direct relationships, it could encourage them to recruit friends and family, too.
